Session Outline
After you’ve been matched with a tutor, you’re almost ready for your first session. Sessions begin at the scheduled start time, and we ask that students arrive on time and stay for the full session. To respect everyone’s schedule and allow tutors to support as many students as possible, no refunds or make-up time are provided for sessions when a student arrives late, leaves early, or misses a session.
To get the most out of each session, we encourage students to come prepared with questions, topics, or sections they would like help with. Once you get access to your Classroom, review the ‘Tips for Student Success’ sheet for more information on how to come best prepared.
Tutors will review concepts with students, guide practice, and support learning. Tutors will not complete assignments, projects, or exams on a student’s behalf. All student information is kept confidential in accordance with BookSmart Tutoring policies.
For in-home sessions, a parent or guardian needs to be at home for the full session. We encourage working in shared spaces. If a tutor ever feels that the situation isn’t safe or appropriate, they’ll reach out to us, and if necessary may leave the session.
Tutors do not transport students under any circumstances.
Booking
To book a session, simply email us your preferred dates and times. We will respond with an invoice based on the session type and grade.
Once payment has been received, your session times will be confirmed in our system and you’re all set.
Payments
We operate on a package system. Payment is made in blocks of 4 hours at a time. The total for each package depends on the student’s grade level and type of service. This amount will be clearly listed on your invoice.
Payment is due 48 hours before the start date of the package and is made by e-transfer to info@booksmartutoring.com. If payment is not received within this period, the session will not be run.
Cancellations
You may cancel a tutoring session with a full refund if at least 48 hours’ notice is provided.
If less than 48 hours’ notice is provided, full payment is due for the scheduled session. This includes all cancellations within this window.
To cancel a session, please email admin@booksmartutoring.com.
If your tutor is unable to attend a session, you will be notified as soon as possible and a replacement tutor or rescheduled session will be arranged.
Communication Outside Sessions
Tutors are not expected to respond to parent or student messages outside of scheduled tutoring times. All communication with tutors should happen within the student’s tutoring Classroom. Tutors may occasionally reply at their discretion, but all instructional support takes place during booked sessions. Parents or students should not ask tutors for personal contact information.
